Approving and signing
My Approvals
The My Approvals menu combines Form Submissions and Signature Requests that are currently actionable by you, including tasks from active delegations. The sidebar badge shows how many tasks can be acted on now.
The queue is ordered by the oldest submission time. Use search and filters for document type, requester, submission range, or task ownership. Filters and page position are stored in the URL so they survive refreshes and returning from a detail page.
When a document is opened from the queue, use Previous Document and Next Document, or Ctrl+Shift+←/→. Shortcuts are disabled while typing. After a successful decision, the app automatically opens the next task. When the queue is empty, it shows how many decisions were completed during the session.
Delegated documents show every delegator involved. Decisions must still be made from the detail view: notes are optional for approval and required for rejection.
This chapter is the other side of the two previous ones. Someone submitted something and it has reached you.
Finding what is yours
Home is the shortest route. Two cards at the top:
- Awaiting My Approval — form documents at a step you are part of
- Awaiting My Signature — signature requests waiting on your signature
Each shows a count and how long the oldest has been waiting. Selecting one takes you to the matching list, already narrowed to your outstanding work. My Work Queue underneath lists the items individually, longest wait first.

You can also filter any document list yourself: the Filter dialog has a To do switch — only documents waiting for my action — and a Delegated Documents switch for work you hold on someone else's behalf.

Approving a form document
Open the document. Above the decision box you get the whole picture: the document's own information, its additional fields, its attachments, and the Approval Flow timeline showing who has already acted and what they said.

The Approval Decision box appears only when it is genuinely your turn.
- Read the document, and open the attachments if there are any.
- Write a Reason if you want to. It is required only when rejecting.
- Select Approve or Reject.
Approve moves the document to the next step, or completes it if you were the last. Reject ends the flow and sends the document back to whoever submitted it, editable again.
A rejection reason is required because the person receiving it has to know what to change. It appears on their timeline against your name.
An approval reason is optional and worth writing when your agreement is conditional, or when a later approver will wonder why this got through.
What a step means for you
The step you are on can be one of two kinds:
| AND | Everyone on the step has to approve. Yours is one of several. |
| OR | Any one of you is enough. The moment one approves, the others are done. |
An OR step is marked (Either one — OR) on the timeline. If you see a document disappear from your queue without you acting, a colleague on the same OR step got there first. That is the mechanism working.
Rejection does not wait for consensus in either kind. One rejection ends the flow.
Signing a signature request
Open it from Signature Requests or from Awaiting My Signature.

The document is shown with your signature area in place. Adjust its position if you need to, then sign. Epruvo confirms first — signing cannot be undone.
Reject needs a reason, the same as a form. A rejected signature request does not come back; it ends there, and a new one has to be created.
Under Serial signing you can only act when it is your turn, and the Signers tab shows whose turn it currently is. Under Parallel you can sign whenever you like.
Acting for someone else
If a colleague has delegated their approvals to you, their work appears in your queue alongside your own. You approve and sign it exactly as you would your own, and the timeline records both names — the person the decision belonged to, and you.
The Delegated Documents switch in the filter shows only that work, which helps when you are covering for someone and want to keep the two separate. See Delegation.
Common problems
| The document is open but there is no decision box | It is not your turn yet, or the step has already been settled. Check the timeline. |
| It vanished from your queue before you acted | An OR step — someone else on it decided. |
| Reject is refused | The Reason field is empty. It is required for a rejection. |
| You want to change a decision | Not possible. Decisions are final by design; ask the submitter to correct and resubmit. |
| A signature request will not let you sign | Serial mode and it is not your turn. The Signers tab shows whose it is. |
| Your queue is empty but a colleague says they sent something | Check that they submitted it — a document left at DRAFT has not gone anywhere. |
