Overview
Epruvo is where your company's paperwork goes to get decided. Someone fills in a request, it reaches the people who have to look at it, they approve or reject it, and the result is recorded with a trail showing who did what and when.
Two kinds of request go through it.
| Forms | Signature Requests | |
|---|---|---|
| You start with | A form your company designed | A PDF you already have |
| People do | Approve or reject | Place a signature and sign |
| You end with | A decided document, downloadable as PDF once approved | A signed PDF carrying a verification QR code |
| Covered in | Submitting a form | Signature requests |
Everything else in Epruvo exists to serve one of those two: departments decide who approves, roles decide who sees what, templates decide what a form asks for, and the records menus let you look back at what happened.
How a form travels
- You pick a form, fill it in, and select Submit.
- Epruvo works out who the approvers are and puts the document in front of the first step.
- Each step approves or rejects. A step can need everyone in it, or just one of them.
- When the last step approves, the document is APPROVED and a PDF is available to download.
A rejected document goes back to whoever submitted it. It becomes editable again, and submitting it starts the approval over.
Those five words — DRAFT, PENDING, APPROVED, REJECTED, VOID — are the status you will see on every document list and every document page. They are explained in full under Submitting a form.
Signature requests use their own five: DRAFT, WAITING, SIGNED, REJECTED, EXPIRED. See Signature requests.
Companies
Epruvo keeps each company's data separate. Your account is a single login, but inside every company you belong to you have a separate profile — your department, your role, and what you are allowed to do are set per company, not once for your whole account.
If you belong to more than one, you choose which one to work in when you sign in, and Switch Tenant in the user menu moves you between them. Nothing you see in one company is visible from another.
Who does what
Epruvo does not ship with fixed job titles. Your company defines its own roles and decides what each one unlocks. In practice most companies end up with some version of these:
| Typically does | |
|---|---|
| Everyone | Submits forms, signs what they are asked to sign, manages their own delegations |
| Approvers | Also decides on documents that reach their step |
| Administrators | Also sets up departments, users, roles, form templates, and company settings |
Which menus you see depends on the permissions attached to your role, so your sidebar may be shorter than a colleague's. That is normal, not a fault. See Roles and permissions.
Where to go next
If you are new, read Accounts and signing in, then Your workspace. Together they cover getting in and finding your way around.
If you are setting up a company from scratch, the order that works is departments → users → roles → additional fields → form templates. Each one leans on the one before it.
If something is not behaving as you expect, Common problems covers the situations that come up most.
